The Problem
The process was too labour intensive
The Halftime selection process was managed with a very manual and labour intensive set of complex spreadsheets. There was constant back and forth on email and phone calls from regional managers and centre coordinators to make custom edits and handle multiple edge cases to ensure small centres were not left out.

Deciding who gets to play at halftime requires a chain of users from the top level through to local club coordinators each assigning the group below. All the key users in the process were AFL employees or registered participants each with a clear role and specific task they were required to complete on the app. Knowing these users gave us a deep understanding of how and where they would complete their task and what edge cases they might encounter as well as real in house users to test with as we built.

After knowing the flow of users I mapped out their specific tasks and which actions would trigger a notification to the next user. This helped to inform what we needed the product to do, what permissions to give each user and how each screen or component would look specific to each users tasks.

I created a view for the lead admin to have an overview of the task completion of each match. At a glance they’d be able to see which matches had kids assigned to play and any that still needed tasks completed.

Admins could open a detail view of each match and assign Auskick centres a selected number of players to each of the mini games that would be played at that match. When completed they can mark as ready which notifies the next user to complete their tasks.

With each user type having different permissions, views and tasks I designed a system that could support multiple variants within each component. Game cards, match rows and other common components had a base style that could be altered specific to each use case.

Unfortunately just as we were starting to build the project was put on hold due to COVID shutdowns. We only made it through the first phase of developer prototyping and testing with AFL staff. It was a great niche business problem to solve that would have only improved further had we been able to trial with participants as planned at an AFL Women’s match.
